The role is responsible for supervising complete Transport Services for the Company and to provide technical support to the Services team in terms of Civil, Mechanical and especially Electrical functions along with telephone services for the Company (both fixed line and mobile). The role holder is expected to act as a custodian of the company's policies and ensure adherence to statutory compliances and law of the land wherever applicable.
1.Transport:
Coordinate the entire transport process for staff pickup & drop services
Assist associates in spot car rental requirements
Manage usage and maintenance of pool cars
Optimize usage of Company pool cars and staff cabs and ensure their documentation i.e. timely insurance, pollution, fitness etc.
Supervise pool drivers including their salaries & duties; organize safety training for Staff Cab drivers
Manage relationships with Company transport vendors. Ensure timely payments and No pending payments on either Company's or employees' part
Align transport vendors on local and PAN India basis who can take booking on Amex Card/Credit Card
Supervise Transport Desk and ensure maximum utilization of staff cabs for staff drops/pick-ups with day usage within the Budgeted parameters
2.Leasing
Manage the end-to-end care leasing process for employees including leasing of cars of new employees, car foreclosure, accident repairs, general repairs & servicing
Manage monthly payouts to Leaseplan. Ensure submission of accurate and timely information to payroll for car / cash optees
Arrange timely and competitive quotes from the assigned Vendors
Arrange car delivery with minimum waiting period
Coordinate and settle disputes (if, any) between the Associates and Leaseplan service related issues
3.Technical
Ensure accurate billing of power, airconditioning elevators etc. by introducing procedures to monitor the same
Justify purchase of electrical consumables based on usage pattern and introduce measures to check pilferage
Ensure discipline and service attitude among staff of vendors drivers, electricians, ac mechanics
Supervise and lead the technical team of Electrical Contractors staff and landlords airconditioning team to offer best in class service to our employees as well as keep power bills under check
Introduce energy saving methods to reduce carbon footprint and power bills
Safety classes for support staff
Fire-drill for the building on regular basis
Fire-fighting equipment to be in top shape
Functioning of UPS & telephone exchange, and ac in Hub rooms, server room & communication room
Tech support in all areas of Admin caf, pantry, CLAs etc
4.Telephone:
Timely activation of new connections from Vodafone with continuous follow ups within the promised time frame
To activate 'additional services' i.e. national/international roaming services, BB services, 3G services etc within the promised time frame
To help Associates in converting their connnections to Corporate on their joining or to personal category on their separation;
Ensure no pendency on payment part from Company Associates.
Supervising fixed-line services at office and Company leased accommodations through Consultant; Validation & processing of bills, recovery of deposits, hand-set inventory etc.
